This notice explains what happens to your information when you visit our website, send an enquiry, book a call or apply for a growth partnership.
01 / Who is responsible?
4mplify Ltd is the controller responsible for the personal information we collect for our business enquiries, bookings and partnership applications. For questions about this notice or to exercise your rights, email hello@4mplify.com.
02 / What we use, and why
Enquiries and conversations
We use your name, email address, message and related correspondence to understand your needs, reply, prepare proposals and manage our relationship with you. Our basis is taking steps at your request before entering a contract with you, or our legitimate interest in responding to business enquiries when you contact us on behalf of an organisation.
Call bookings
We use the contact details, selected time and any answers you give when booking to arrange the call, send booking information and follow up on your request. Bookings are handled through Calendly and our connected Google Calendar. The same pre-contract or legitimate-interest basis applies.
Growth partnership applications
We use your contact details, business name, role, optional website, description of the opportunity, revenue and budget ranges, timing and due-diligence answers to assess suitability and contact you. Our legitimate interest is evaluating potential commercial partnerships. Please do not send identity documents, accounts or sensitive personal information through the application form. Any later due diligence will be discussed separately.
Keeping the website working
Website infrastructure and service providers may process technical information such as IP addresses, browser details, requested pages and security logs to deliver their services and prevent abuse. Our legitimate interest is maintaining a reliable, secure website.
The information comes from you, your browser and the services you use to contact or book with us. Required form fields are needed to respond or assess an application; you can contact us by email instead. Submitting a form does not sign you up to a newsletter. Partnership decisions are made by people, not solely by automated decision-making.
03 / The services involved
- FormSubmit receives the enquiry or application fields, the page address and technical connection information, and delivers the submission to our email inbox.
- Google Analytics and Google Tag Manager help us understand website use when you consent to analytics.
- SiteGround provides our business email service, where enquiries and correspondence are held.
- Calendly and Google Calendar handle scheduling and calendar entries when you book a call.
- Website hosting and delivery providers deliver the pages and process technical requests. Website pages are currently delivered through Sites using Cloudflare infrastructure.
These services may process information outside the UK. Their locations, retention arrangements and applicable transfer protections depend on the service and its terms. Contact us for information about the arrangements relevant to your data. See FormSubmit’s privacy policy, Calendly’s privacy notice, Google’s privacy policy and SiteGround’s privacy policy.
We may also share information with professional advisers or authorities where necessary to obtain advice, meet a legal obligation or deal with a dispute. We do not sell your personal information.
04 / How long we keep it
We normally keep enquiry correspondence and unsuccessful partnership applications for at least 12 months after the last meaningful contact. Records may be needed for longer where discussions remain active, there is a relevant continuing business relationship, or they are needed for legal obligations or the establishment, exercise or defence of legal claims.
Retention depends on the purpose and continuing need for the record, rather than keeping every submission indefinitely. If you become a client or partner, relevant information forms part of that relationship’s records. You can ask us about the retention of your information or request deletion; some records may need to be retained for the reasons above. Service providers may have separate retention periods described in their notices.
06 / Your choices and rights
Depending on the circumstances, you can ask to access or correct your personal information, request deletion or restriction, object to processing based on legitimate interests, and request portability where applicable. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Email hello@4mplify.com to make a request. We may need to verify your identity and will normally respond within one month. You can also complain to the Information Commissioner’s Office. You do not have to contact us first, although we welcome the chance to resolve a concern.
